Donor Bill of Rights

Philanthropy is based on voluntary action for the common good. It is a tradition of giving and sharing that is primary to the quality of life. To assure that KW Cares merits the respect and trust of the general public, and that donors and prospective donors can have full confidence in KW Cares, we declare that all donors have these rights:

  • To be informed of the organization’s mission, of the way it intends to use donated resources, and of its capacity to use donations effectively for their intended purposes.
  • To be informed of the identity of those serving on the organization’s governing board, and to expect the board to exercise prudent judgment in its stewardship responsibilities.
  • To have access to the organization’s most recent financial statements.
  • To be assured their donations will be used for the purposes for which they were given.
  • To receive appropriate acknowledgment and recognition.
  • To be assured that information about their donations is handled with respect and with confidentiality to the extent provided by law.
  • To expect that all relationships with individuals representing organizations of interest to the donor will be professional in nature.
  • To be informed whether those seeking donations are volunteers or staff of the organization or hired solicitors.
  • To have the opportunity for their names to be deleted from mailing lists that an organization may intend to share.
  • To feel free to ask questions when making a donation and to receive prompt, truthful and forthright answers.

How To Donate

The First Time Someone Donates

 

In order for us to accurately track donations and issue tax receipts, first-time donors should complete a Donor Form and include it with your check. Whether you are mailing the check individually, or your market center is sending in a group of checks, we need to receive this form at least once from each person so that we can set up a complete record in our donor database.

 

Once we have received the form for a donor, it is not not necessary to include it with future donations..

 

If you are an MCA who is submitting in a batch of checks and you don't know whether some of these are first-time donors, you should either:

 

  • Have every person complete a Donor Form, OR
  • Make sure that each check lists the person's full name, MC# and email address.
Greensheet Contributions

 

Whether checks are cut at closing or the MC receives the total amount, Greensheet donations should first go through the MCA, who must write the agent's name and MC# on the stub. IMPORTANT: Please be sure to enter your MC address in the deduction address field in the WinMORE system so that checks will go to your office and not be sent directly to KW Cares.

Following these steps will ensure that when KW Cares receives the check we will have enough information to enter the donation in our database and generate a tax receipt for the individual.

How Individuals Can Make a Donation

How Teams, Market Centers, Regions Can Make Group Donations

 

There are many ways to support the Keller Williams family through KW Cares. To keep administrative costs low for the charity, we prefer that market centers issue a single check that reflects multiple donations, rather than sending us a stack of individual checks.  We will of course accept multiple checks if this is the only way your office can contribute.

 

When sending a single check representing multiple donors, it is imperative to include a list of donor names, addresses, email, and individual amounts so that we can issue accurate receipts. To do this you can either submit a Donor Form for each donor, or a cover page that includes these details.

 

When we receive checks that are not accompanied by the Donor Form, we assume the donors are already in our database.  If they are not, it causes considerable administrative time to research, so we appreciate your cooperation in working with us to accurately identify details for each donor.

Receipts

 

Receipts are emailed at the end of the month that the donations are entered into our database. If we do not have the donor’s email address, a year end tax receipt is mailed in January of the following year.
